How to Add a Confidential Watermark to a PDF

Use specific watermark text

A watermark should communicate the document's status or intended use. Labels such as CONFIDENTIAL, DRAFT, REVIEW COPY or INTERNAL USE ONLY are clearer than decorative text.

For individually distributed copies, some organizations use recipient-specific text, but that requires a controlled workflow and should respect privacy policies.

Balance visibility and readability

A watermark must be noticeable without making the underlying document difficult to read. Large diagonal text with moderate transparency is common because it crosses the page while leaving content visible.

Check pages with dark graphics as well as plain text; a watermark that works on white paper may disappear over photographs.

A watermark does not secure the file

Visible text cannot prevent copying, screenshots, printing or editing. It is a communication and deterrence mechanism, not cryptographic access control.

If access restriction is required, use password protection or a controlled document-sharing system in addition to any visual watermark.
