Read the portal requirements first
Check accepted format, maximum file size, page limit and whether multiple documents must be combined into one PDF. Do this before editing so you do not perform unnecessary conversions.
Some systems require one file per document type while others want a single complete packet.
Assemble and optimize in the right order
Merge required documents, reorder pages, remove accidental blanks and then compress only if the combined file exceeds the portal limit. Compressing each source repeatedly before merging can create avoidable quality loss.
If the portal asks for only selected pages, extract those pages rather than uploading an entire document containing unrelated information.
Validate the uploaded file
Open your final local copy immediately before uploading and confirm that every page remains readable. After upload, use any portal preview or download option to verify that the correct file was received.
Keep a copy of the exact submitted PDF and any confirmation number for your records.
Turn portal instructions into an acceptance checklist
Illustrative portal rules: one PDF, no more than six pages, under 2,000,000 bytes, and no password. These are fictional requirements for practice, not rules of any real application. Write down the actual portal’s format, page count, size and encryption requirements before editing.
A merged seven-page file fails the page limit even if it is small enough. An encrypted two-page file fails the no-password rule. Do not remove a required page or meaningful detail to force acceptance; ask the organization for its approved alternative.

Recover from rejection by its actual cause
A size error, damaged-file error and unsupported-encryption error need different fixes. Preserve the reviewed local copy and record the portal’s message; do not keep applying compression blindly.
- Read the live instructions and record every gate.
- Assemble and inspect the required pages.
- Compress only if rasterization is permitted and size requires it.
- After upload, inspect any preview or downloadable submitted copy and retain the confirmation.
