PDF Workflow Order: Merge, Compress, Watermark and Protect
Choose a sensible operation order so you avoid redoing work or degrading the file more than necessary.
Do structural edits first
Merge, split, extract, delete and reorder pages before final presentation steps. Structural changes alter which pages exist and where they appear, so performing them late can invalidate numbering or watermarks.
If several source PDFs need to become one packet, assemble that packet before final compression.
Apply presentation and size changes next
Add page numbers and watermarks after the page order is stable. Compress only when the final file needs to meet a size target, and inspect the result for readability.
When a compression method rasterizes pages, applying it too early can make later edits operate on a lower-quality version.
Protect last
Password protection is usually the final step because many editing tools cannot operate on an encrypted PDF without first unlocking it. Encrypt the version that is actually going to be shared.
Keep an unprotected working master in appropriate secure storage if future edits may be required.
