PDF Privacy Checklist Before Public Sharing

Review visible information, hidden properties, filenames and embedded content before publishing a PDF online.

Inspect every visible page

Search for names, addresses, signatures, account identifiers, email addresses, comments and any information not intended for the public. Zoom in on scans because faint handwriting or background pages can be easy to miss.

If information must be redacted, use a true redaction workflow that removes the underlying content rather than covering it with a shape.

Inspect non-visible information

Review document properties, comments, attachments, form fields and filenames. Removing standard metadata helps but does not guarantee that every hidden object has been sanitized.

For high-risk releases, use professional PDF sanitization tools and an established review process.

Publish the exact reviewed copy

After the privacy review, create a final filename and avoid making unreviewed edits. Upload the exact copy that was inspected.

Once published, assume the file can be downloaded and redistributed indefinitely. The final review should therefore happen before the first public upload.
