A Practical Checklist for Sharing Sensitive PDFs
Review content, metadata, filenames, access controls and recipient details before sending a confidential document.
Minimize what you share
Send only the pages and information the recipient actually needs. Extracting a relevant section can reduce exposure compared with sending a complete report containing unrelated personal or business details.
Check visible content for names, account numbers, signatures, addresses and other information that should not be disclosed.
Check hidden and surrounding data
Review common PDF metadata and use a neutral filename when the filename itself could reveal sensitive information. A file named employee-dismissal-john-smith.pdf exposes context even before the PDF is opened.
Comments, attachments and form data may require separate inspection in a full PDF editor because simple metadata cleanup does not cover every embedded object.
Control delivery
Verify the recipient address, protect the file when appropriate and share the password separately. For high-risk information, use an approved secure portal rather than ordinary email.
After sending, retain only the copies required by your records policy and remove temporary exports from shared or public locations.
